This notice explains what personal information Import Bureau collects when you use this website and our service, and what we do with it.
Who we are

What we collect
- Contact details: your name, job title, email address and phone number.
- Company details: your company's name, registration details and address, and the documents you upload, such as a certificate of incorporation.
- Application details: your answers on the application form and our notes on your application.
- Authorisation records: when you accepted our terms, when you confirmed your email address, and the IP address and browser used.
- Bookings and messages: call bookings, questions you send us and chat messages.
- Payment status: whether an invoice has been paid. Card details are handled by our payment provider and we don't see them.
- Website use: basic technical information such as pages visited and device type.
Why we use it
- To prepare, file and follow up your application. We need this information to provide the service you asked for.
- To contact you about your application, your account and payment.
- To keep records we are required to keep by law.
- To protect against fraud and keep the service secure.
- To improve the website and the service.
We don't sell your information, and we don't use it for advertising profiles.
Who we share it with
- The authority you apply to, such as HM Revenue & Customs or Dutch Customs, so it can process your application.
- Service providers that run parts of the service for us: website and database hosting, email delivery, payments and sign-in (if you sign in with Google or Microsoft). They can only use your information to provide their service to us.
- Others where the law requires it.
Some of these providers store data outside the UK. Where they do, we rely on the safeguards UK law requires, such as adequacy regulations or standard contractual clauses.
How long we keep it
We keep application records for as long as we need them to provide the service and to meet our legal and accounting obligations. We then delete them or make them anonymous.
Your rights
You can ask us to:
- give you a copy of your information;
- correct information that is wrong;
- delete your information, where we don't need to keep it;
- restrict or object to how we use it;
- transfer it to another organisation.
